Lead Was Not Captured

A call happened but no lead appeared.

On this page

A call happened but no lead appeared. Usually the call is there and simply didn’t collect contact details, which is a different problem from a missing record.

First, check it’s really missing

  1. 1

    Look in Conversations

Find the call by time or number. If it’s there, the call was handled — the question is only what it captured.

  2. 2

If it isn't there, the call never arrived

That’s forwarding, not lead capture. See AI Did Not Answer.

  3. 3

    Read the transcript

It will show exactly what was and wasn’t given. Usually the answer is obvious in ten seconds.

  4. 4

    Check the outcome

Calls marked information only don’t create leads — that’s correct behaviour, not a fault.

Why a call produces no lead

They hung up before giving details
The most common reason. Contact details usually come after the problem is described.
It was information only
An existing customer checking a time, a supplier, a wrong number, a sales call. No lead needed.
They refused to give details
Some callers only want a price. Your receptionist asks; it doesn't insist.
The job wasn't a fit
Outside your area or work you decline. The call is still recorded, but there's no job to chase.
The line dropped early
See Call Disconnected. Anything captured before the drop is still saved.

Not every call should become a lead

In a typical month over half of calls are information only. A lead count well below your call count is normal and healthy.

Getting more calls to produce leads

  1. 1

    Ask for the number earlier

In Call Behavior, move the callback number nearer the start. If the line dies later, you still have a way to reach them.

  2. 2

    Trim what you collect

A long list of questions loses people. Ask only what you genuinely can’t start without; the rest can wait until you arrive.

  3. 3

    Answer the price question properly

Callers who can’t get a straight answer hang up before giving details. A confident number in Services keeps them on the line.

  4. 4

Listen to three that captured nothing

The point where they disengage is usually identical across all three, and usually fixable.

A fix that worked

A plumber found six calls in a fortnight with no details captured. All six hung up right after asking “how much to come out?” and hearing that a technician would need to look first. Adding a $95 call-out fee to Services fixed it — callers who heard a real number stayed on and gave their details.

Recovering this one

Even with no lead created, the call still has the caller’s number attached in Conversations. Read the transcript, then ring them back naming what they wanted. A caller who hung up ten minutes ago is still warm.

If it happens a lot

That points at something structural — usually the price question, or too many questions before the callback number. Listen to five and look for the shared moment where they disengage.

That shouldn’t happen. Send us the call time and number — with the transcript showing the details being given, we can see exactly where it went wrong.

Caller got through but no lead appeared?

Send the caller’s number and roughly when they rang. We can trace that call and tell you where it stopped.
