On this page

Conversations is the complete record of every call and text your receptionist has handled, newest first, with recordings and transcripts attached.

Where to find it

Conversations in the left menu. Nothing is ever deleted on its own, so a call from three months ago is as findable as one from this morning.

The dashboard says what; this says why

Your dashboard tells you what happened. This is where you find out why. Every improvement you make to your receptionist starts by opening a call here and listening to it.

It also settles disputes. When a customer says they were quoted something different, the recording is right there.

Finding a specific call

  1. 1

Search by number if you have it

The fastest route. A phone number is unique and gets you straight there.

  2. 2

    Otherwise narrow by date

Customers usually remember roughly when they rang. A day either side is normally enough.

  3. 3

    Then filter by outcome

If they said they booked, filter to booked. It cuts the list dramatically.

  4. 4

    Search the words

Transcripts are searchable, so a distinctive phrase — a street name, a boiler model — will find the call even when nothing else does.

Transcript search is the underused one

Because every word is stored as text, you can search for things no other filter reaches — “warranty”, “landlord”, a competitor’s name. It’s the quickest way to find out how often something comes up.

The filters worth knowing

Qualified, not booked
Your callback list. The single most valuable filter on this screen.
Escalated
Calls that needed a person. Check nothing was dropped.
Booked
Confirm what's coming up, and spot anything booked further out than you'd like.
After hours
See what arrives while you're closed — usually more than owners expect.

A weekly ten minutes

Filter to qualified-not-booked for the last seven days. Open three. If two ended for the same reason, that’s not bad luck — it’s a setting to change.

Opening a call

Inside a conversation you get the whole picture:

The recording
Play it back in full.
The transcript
Every word, as text, searchable.
What was captured
Name, number, address, job, urgency.
What happened next
The booking, the transfer, or the callback promised.
