These fields are spoken out loud

Your receptionist says your business name aloud on every single call. It uses your service area to decide whether to book or politely decline. It uses your description to work out how to talk about you.

Ten minutes here changes the tone of every call you receive from now on.

The fields

Business name

Write it the way you’d say it, not the way it’s registered. If your paperwork says “Summit Comfort Air & Heating LLC” but you answer the phone with “Summit Comfort”, use the second one.

Industry

Your trade — HVAC, roofing, plumbing, electrical, real estate, legal, and so on. This shapes the vocabulary it expects from callers and the sensible follow-up questions for your kind of work.

Business description

The field most people rush, and the one that pays back most. Say what you do, who you serve, and anything that changes how a call should go.

A description that does real work

“Residential heating and cooling across Greater Austin. Repairs, installs and maintenance plans. $89 diagnostic call-out, waived if the repair goes ahead the same day. We don’t take commercial chillers or mobile homes. Emergency no-heat calls in winter get priority.”

Four sentences, and the receptionist now knows what to quote, what to decline, and what to treat as urgent.

Service area

Where you’ll actually drive. A radius or a list of towns both work. Be honest — a service area wider than you’d really travel produces bookings you cancel, and cancelled bookings show up as a falling hold rate.

Time zone

The single most common setup mistake. If this is wrong, your business hours are wrong, and your receptionist will tell callers you’re closed when you’re open. Check it even if it looks right.

Receptionist name

What it calls itself on the phone. A first name works well — callers find it easier than “the assistant”. It still identifies itself as an AI either way.

Check the time zone

A wrong time zone breaks hours, after-hours behaviour and every slot it offers, all at once — and it does it quietly. It’s worth ten seconds of checking.

After you save

Changes take effect on the next call. Ring in afterwards and listen to the greeting — if the name sounds wrong spoken aloud, that’s what your customers have been hearing.

Each location is set up as its own business, with its own number, hours and service area. That keeps callers from being quoted the wrong branch’s availability.
