Give your office staff their own login.

Everyone who works your leads should have their own login. Sharing one set of details across an office is convenient right up until the day it isn’t.

Shared logins work until they don't

  • You can see who did what. Shared logins make every action anonymous.
  • Leaving is clean. Remove one person’s access without changing a password everyone relies on.
  • Alerts can be routed per person. The office gets office things, the on-call technician gets night things.
  • Customer data stays accounted for. Recordings and leads contain names, addresses and phone numbers.

Who should have a login

You
The owner account. Full access, including billing and configuration.
Office staff
Anyone who rings back leads, checks the diary, or handles customers.
A manager
If someone else reviews calls or reports on performance.
Not technicians, usually
Field staff generally need the job on their calendar, not the whole account.

Adding someone

    Open the team settings

    From your account settings, choose to invite someone.

    Use their work email

    Their own address, not a shared inbox — the point is that the login belongs to a person.

    Send the invite

    They get an email and set their own password. You never see or handle it.

    Point their alerts appropriately

    In Owner alerts, decide what they should be told about. Not everyone needs every notification.

Do it before you need to

The moment you actually need separate logins is usually the moment someone has left — which is the worst time to be sorting it out.

What they can see

Everyone on your account sees your business — your calls, your leads, your dashboard. Nobody outside your account ever does.

Your data is never shared between businesses

Another business on the platform cannot see your calls, your leads or your recordings, and your phone number is never used for anyone else. That isolation is enforced by the system, not by policy.

Removing someone

Remove their login when they leave. Their access ends immediately; the work they did — leads they handled, notes they left — stays in your account where it belongs.

If they were receiving alerts, remove them from Owner alerts at the same time. It’s the step people forget, and it means customer details keep arriving on a phone that’s no longer yours.
