Alerts tell you a lead has landed. Set them up properly and you find out while the customer is still thinking about the job, which is when a callback is worth most.

Where to find them

Business Config → Owner alerts. Add the email address and mobile number that should hear about new leads.

Speed is the whole game

Speed is the whole game on a callback. A lead you act on within the hour converts several times better than the same lead tomorrow morning.

Alerts are what make that possible without you sitting in the account all day.

What you can be told about

A new lead
Someone called and their details were captured. The core alert most owners want.
A booking
An appointment went on your calendar. Useful even though the calendar will also show it.
An escalation
A call that needed a person. This is the one you should never miss.
After-hours activity
Calls arriving while you're closed — worth routing separately if someone else is on call.

Text yourself, email the office

The pattern most owners settle on. Texts reach you on a job site; emails give the office a record to work from without buzzing anyone’s pocket.

Choosing where alerts go

    Add the phone that's actually with you

    Not the office landline. If you’re on a roof, the alert needs to reach the phone in your pocket.

    Add an email for the record

    Emails carry more detail and are easier to search later than a wall of texts.

    Route after-hours separately if you have a rota

    If someone else covers weekends, send weekend alerts to them rather than to you.

    Test it

    Make a test call and confirm the alert actually arrives. An alert you assumed was on is the most expensive kind.

Getting the volume right

There’s a real failure mode here: too many alerts and you stop reading them, which is worse than having none.

Alert on leads and escalations
The two that need you to do something. This is the right default for most businesses.
Don't alert on information-only calls
Usually more than half your volume, and none of it needs you.
Consider skipping booking alerts
The appointment is already on your calendar. A second notification is often just noise.

A setup that works

Text to the owner’s mobile for new leads and escalations. Email to the office for everything including bookings. Weekend alerts to the on-call technician instead of the owner. Roughly four to six texts a day rather than thirty.

An unread alert is the same as no alert

If you find yourself swiping them away without reading, that’s the signal to cut back — not to try harder.

Check the address and number are right, then look in your spam folder for the email one. Make a test call to confirm — the alert either arrives or it doesn’t, which tells you straight away whether it’s configuration or delivery.
