A captured lead is a caller whose details your receptionist wrote down — the contact information and job details you need to actually do the work.

What gets captured

Name
As given on the call.
Phone
The best callback number, not always the number they rang from.
Service address
Where the work is, which can differ from a billing address.
The job
What they described, in their words.
Urgency
How your receptionist judged it, based on your rules.
Anything else you asked for
Unit make and model, gate code, property size — whatever you set to collect.

A partial lead is still a lead

If someone hangs up halfway, whatever was captured before the line dropped is saved. Half a lead with a phone number on it is still worth ringing back.

Where your unconverted work sits

This list is where your unconverted opportunity lives. In a typical month there are roughly twice as many qualified-but-not-booked leads as booked ones — people who described real work and didn’t commit.

They’re warmer than any lead you could buy. They rang you.

Each lead carries a consent status: whether that person may be contacted by automated text or call. It sits next to the contact details because the two decisions belong together.

  • Consent is per person, tracked individually rather than assumed for the list.
  • Opt-outs are permanent. Once someone opts out, nothing automated reaches them again — there’s no override.
  • Ineligible leads can’t be messaged. The system refuses rather than trusting you to remember.
  • You can always ring back manually. Returning a call from someone who rang you is a different thing from automated outreach.

This protects you

Penalties for getting automated outreach wrong land on the business that sent it. That’s why eligibility is enforced in the product instead of being a checkbox you could switch off.

    Read the transcript before you ring

    Thirty seconds tells you what they wanted and where it stalled. Without it, you’re making a cold call to a warm lead.

    Ring back naming the job

    “You called Tuesday about the noise from the outdoor unit” lands completely differently from “you enquired recently”.

    Offer two specific times

    A smaller decision than “when suits you?”, and they take it.

Exporting

Leads can be exported for your own records or to load into another system. The export carries the contact details, the job, the outcome and the consent status, so the consent travels with the contact rather than being lost at the boundary.
