Booked calls are the conversations that ended with an appointment on your calendar. On the funnel it’s the third bar, and it’s the last stage you can directly influence — everything after depends on the customer turning up.
Where the number lives
The Booked bar on the Attribution funnel, with the conversion from Qualified shown just above it. The dollar value of those bookings sits in the Pipeline tile until they hold.
A maybe versus a time on the calendar
A captured lead is a maybe. A booked appointment is a commitment with a time on it, and it converts far better than a callback list, because the customer chose the slot while they still had the problem in front of them.
Booked is not yet money
What has to be true to count
- The customer agreed a specific date and time on the call.
- The slot was genuinely open on your connected calendar.
- The appointment was created — both you and the customer got the confirmation.
If your receptionist only captured a preferred time for you to confirm later, that’s a qualified lead, not a booking. It counts at the previous stage.
Reading the conversion rate
The percentage above the Booked bar is the share of qualified callers who committed to a time.
- Above 50%
- Strong. Your availability and pricing are landing well.
- 30% to 50%
- Normal for most trades. Callers shopping around will always be part of the mix.
- Below 30%
- Worth investigating. Usually availability, price, or a question it couldn't answer.
How to improve it

Listen to five that didn't book
Filter Conversations to qualified-not-booked and play them. The reason is almost always audible in the last thirty seconds.

Check what slots were offered
If the earliest slot was ten days out, the caller rang someone else. Opening more availability moves this number more than any wording change.

Fix the questions it couldn't answer
A caller who hears “someone will get back to you” rarely books. Add that answer to FAQs and it handles it next time.

Revisit your quoted prices
A call-out fee stated confidently books better than a vague one. If a price is genuinely variable, say the range rather than avoiding the question.

Each booking appears on your calendar and in Conversations with the recording attached. Its value sits in pipeline until the appointment date passes, then moves into recovered revenue if it held.
